**The Mtg Minutes folder is one of hte most important folders. This is where the project process is recorded and the tracking actually takes place. This is the place management and the PCO look for activity and reporting**.

Note: No use of sub-folders should be needed, (scrums or tiger teams being the exception when critical meetings are being held and recorded). A simple system of writing the minutes should be used. Keep the meetings to one hour maximum unless otherwise called for. In the minutes it is easier to use a conversational style so that who said what is recorded. Edit carefully since people often speak in ways that get their point out in familiar surroundings but are not necessary for how the record should be reflected.

Note: use a simple tag on the minutes to make them easy to follw later. Example: project.mins.3MAR03.doc

Note: Always ask for review and input back from the team on the minutes. Ask for errors and or omissions so that the minutes are accurate.

Note: Minutes should contain results of action items due. Updates should be included on the current efforts of people. Minutes should list future actions with who is assigned and when they are expected to report back. General information that is relevant to the program and who brought it forward.

Important: Any management action or input to your project should be captured in the minutes so that team members are fully informed. Also, include personal schedules when mentioned (such as vacations, travel, etc. with departure and return dates when available).
